Job Description

Executive Assistant to the Co-Directors of Athletics (7385U) 86532 Position Summary This position provides executive-level support for the Co-Directors of Athletics, including maintaining their calendar, scheduling meetings with staff, donors, partners, and campus leadership, managing travel, and processing expenses. It also coordinates department-wide meetings and serves as the main point of contact for the Co-Directors’ immediate office. Responsibilities Direct and oversee daily administrative operations for the Co-Directors of Athletics office. Act as primary point of contact for the Athletic Director’s suite. Develop and implement efficient systems for managing information, projects, and communications. Handle details of complex, highly sensitive matters on behalf of the executives. Manage and coordinate a dynamic travel schedule, including extensive travel related to Football operations and conferences. Prioritize meetings and tasks based on fundraising, leadership, and daily operational responsibilities. Act as gatekeeper to prioritize issues according to urgency and allocate time accordingly. Respond to queries from faculty, staff, students, and public on behalf of the executive. Brief executives with timely status updates on pending issues. Prepare briefing materials, talking points, and reports for executive meetings. Organize ad-hoc committees and ensure necessary materials are prepared in advance. Coordinate information from other departments to guarantee timely executive review. Plan monthly All-Staff meetings, develop agendas, confirm speakers, and handle logistics. Required Qualifications Experience providing high-level executive administrative support to senior leadership in a complex, fast‑paced organization. Advanced knowledge of organizational processes, protocols, and procedures. Discretion and ability to maintain confidentiality. Project management skills at small to mid‑level scale. Intermediate to advanced proficiency with organization-specific computer applications. Strong analytical and problem-solving skills. Political acumen and sensitivity to diverse perspectives within all levels of the organization. Service orientation and strong communication with all stakeholder levels. Advising and counseling skills. Ability to multi-task under demanding timelines. Knowledge of federal regulations such as FERPA. Bachelor’s degree in a related field or equivalent experience or training. Education and Training Bachelor’s degree in a related area and/or equivalent experience or training. Salary & Benefits The budgeted annual salary range for this position is $82,800 – $149,800. This is an exempt, monthly-paid, full-time (40 hours/week) career position eligible for full UC benefits.
