Aiken Professional Association, a physician-led group based in Aiken, South Carolina and affiliated with Aiken Regional Medical Centers, is seeking an Operations Administrator to support the daily operations of its primary and specialty care practices. This role is central to ensuring that clinic workflows run smoothly, providers and staff are well-supported, and patients experience efficient, high-quality care from check-in through follow-up. Working in the Operations & Site Management department, the Operations Administrator oversees day-to-day non-clinical operations across assigned practice locations. This includes coordinating patient scheduling and flow, supervising front-desk and support staff, and monitoring key operational processes such as registration, insurance verification, and medical records handling. The role works closely with physicians, practice managers, and clinical leaders to maintain a collaborative, patient-centered environment aligned with the group’s standards for professionalism, clinical excellence, and respectful teamwork. Responsibilities include organizing staff schedules and assignments, supporting training and onboarding of new administrative team members, and helping to implement and reinforce office policies, procedures, and regulatory requirements. The Operations Administrator helps ensure compliance with HIPAA and other healthcare regulations, promotes consistent use of the electronic medical record (EMR) and scheduling systems, and troubleshoots workflow issues that impact access, efficiency, or patient satisfaction. The position assists with basic operational reporting, such as tracking patient volumes, cycle times, and key performance indicators, and contributes to process-improvement initiatives that enhance patient access, communication, and overall clinic operations. In addition, the Operations Administrator supports supply and vendor coordination, assists with facility and equipment needs in concert with site management, and may help with basic revenue cycle tasks such as charge capture support, documentation follow-up, and coordination with billing teams. Strong communication skills are essential, as this role serves as a day-to-day point of contact for staff questions, patient concerns that require administrative attention, and routine coordination with hospital and health system partners. This position is well-suited for an individual with experience in healthcare or medical office operations who enjoys working in a fast-paced, team-oriented environment.
