Description:
General Summary
Responsible for the day-to-day administration of assisted living program and financial operations; planning, development, implementation, evaluation, and improvement of program services; management of Assisted Living staff; and delivery of high-quality services as determined by the residents and their families. May provide case management to assisted living residents as needed. He/she is responsible for ensuring operation of a program that is consistent with the philosophy of Charlesgate’s Community and aligns with state regulations.
Assisted Living
- Deliver high-quality services tailored to resident needs and preferences within the Assisted Living framework
- Attains and/or maintains ongoing compliance with appropriate local, state, federal, regulatory, and/or accrediting body standards. Ensures that the program is prepared for inspection by regulatory agencies through the regular auditing and updating of program policies and procedures, medical records documentation, environmental standards, etc.
- Consistently meet or exceed monthly occupancy goals and budgeted benchmarks
- Strives to attain excellence in resident satisfaction through ongoing solicitation and measurement of resident feedback, implementation of resident suggestions, interactive problem solving with residents, and an annual program evaluation/quality assurance effort
- Provides ongoing support, direction, supervision, and feedback regarding job performance of all assisted living program staff, including contracted staff and volunteers. Documents evaluation of job performance at least annually. Actively promotes staff participation and involvement in day-to-day operations and decision making. Promote team building through participation and/or leadership at regular staff meetings.
- Collaborate with the maintenance team to maintain a safe, sanitary environment; proactively identify and mitigate workplace hazards to minimize accidents and injuries for all staff and residents
- Takes initiative to actively plan, develop, and implement expansion and/or innovation in program services
- Continuously monitors core performance metrics to identify trends and optimize workflows
- Ensures strict confidentiality of sensitive information and organizational data.
- Demonstrates an understanding of the aging process.
- Proactively expand professional expertise by participating in educational seminars hosted by RIALA, the AAHSA RHP program, and internal training sessions for Assisted Living staff
- Makes an active contribution toward improving community relations, increasing positive public regard and overall awareness of the assisted living program
- Oversees Quality Assurance Plan (QA)
Financial
- Maintains accurate accounts receivable records by partnering with administrators and ensuring strict alignment with annual budget guidelines
- Administers and adheres to the annual budgets. Monitors and maintains cost control throughout collaboration with the Controller and Director of Operations
- Reviews budget variance reports monthly
- Collaborate with Director of Operations to maintain financial/business relationships with outside vendors
- Demonstrates proficiency in Assisted Living financial management, including a comprehensive understanding of diverse funding sources and industry-specific software
Administrative
- Prepares RIHMFC compliance reports (if applicable)
- Prepares any applicable assisted living compliance reports
- Ensure touring appointments for prospective assisted living residents are occurring and work closely with the Leasing Specialist.
- Ensure proper processing for all prospective assisted living resident applications by working closely with the Leasing Specialist
- Maintains Assisted Living documents and records
- Responds to agency inspections (if applicable)
- Maintains high standards of cleanliness and presentation across all administrative and resident common spaces
General Operations
- Oversee the quality of all resident transitions to both higher and lower levels of care when necessary
- Disseminates information which has been discussed at Management level meetings that may affect assisted living team. Communicates key updates from management meetings to the assisted living team, ensuring staff are informed while strictly maintaining organizational confidentiality
- Assists Business Office with requests during audit by external CPA firm at year end
Requirements:
- EDUCATION and/or EXPERIENCE Must have experience in the health, human services, and/or community services field. Must possess strong organizational and time-management skills. Must be able to conceptualize, and implement a plan for the assisted living program, anticipate problems, predict outcomes, and plan for the future. Must have demonstrated the ability to hire, direct, and manage personnel. Must demonstrate an understanding of how assisted living facilities work, from governing bodies to financing. Ability to communicate the program philosophy and goals. Knowledge of community service network is desirable. Bachelor’s Degree preferred.
- COMMUNICATION SKILLS / English - Ability to read, analyze, and interpret common technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from residents, regulatory agencies, or members of the business community.
- REASONING ABILITY Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables.
- CERTIFICATES, LICENSES, REGISTRATIONS Must have and maintain an active assisted living administrator’s license.
- CRIMINAL BACKGROUND Local, state and federal Background Criminal Investigations (BCI checks) must validate no history of criminal activity.
- EMERGENCY RESPONSE Ability to remain onsite and physically present during emergency situations, drills, or weather events as required
- SCHEDULE REQUIREMENTS Ability to work a flexible schedule, including evenings, weekends, and participation in the Manager on Duty rotation as organizational needs require
